Adding a practice wide event in the calendar

To add a practice wide event to your calendar, navigate to CALENDAR, which is located under the packages on the left-hand side of your HUB page.

This will take you to the calendar where you can view the current month's information.


You can access different months by clicking the 'Jump to month' button at the top of the page..


Hover over the date you would like to add the practice wide event for and click ' + Add Event'.


The event details page will allow you to fill in the details of the event you would like to add.

By default, this will be a 'Personal Event' but can be changed to 'Practice Wide Event'.

You can then add a title in the ‘Title’ box. This step is mandatory, you will not be able to proceed unless this is filled in.

You can add a description in the ‘Description’ box. This is optional.

Start date and end date are both mandatory fields.

You can amend either of the dates by clicking the boxes and selecting the new date.


You can also adjust the timings of your event by unticking either box next to ‘Start of day’ and ‘End of day’.


Click ‘Save’.

Once saved, you will see a confirmation message at the top of the page to inform you that the record has been saved, along with another message requesting that you make the event visible to your staff members.

Go to the ‘Visibility & Owners’ tab that has now become available to access.

Here you can make the event visible to the appropriate staff members.


You can select staff individually using the drop-down arrow beneath ‘Staff Members.’

You can bulk assign visibility via job role using the drop-down arrow beneath ‘ Job Roles’.

To make this event visible to everybody in your HUB account, select "All Staff" from the job roles list.


If you are using the ‘Teams’ feature, you can bulk assign visibility via a team you have created using the drop-down arrow beneath ‘Teams’.


Select whether you would like your selected staff members to be notified.

If you choose to ‘Notify new Viewers’, the selected staff will receive an email notification and a notification in their bell icons.


Assigning staff as additional ‘Owners’ of an event grants them management permission for the specific event.

Then click ‘Save’. 


If you have ticked to do so, the selected staff members will receive notifications that a practice-wide event has been shared with them.






The event will be shown as a 'Practice Wide Event' on your calendar.
